About the ASCII File Generator

The ASCII File Generator will enable one to export data out of VIP Premier Payroll into two ASCII files formats: Fixed Width and a Delimited Values file.

 

Companies with the same layout are allocated to the same group and then a selection of groups can be exported into one consolidated ASCII file.

 

It will also enable one to consolidate companies that are in different Payment Cycles.

 

The program will consist of a File Layout, where one would specify the layout of the output file, and on the Groups Control Screen define which companies must be exported and in which fields the export information are stored.

 

How to Activate the ASCII File Generator

On the Initial Entry Screen:

  1. Click on Options.
  2. Select Activate ASCII Generator.
  3. Tick Activate ASCII Generator.

 

This may only be done with a special password supplied by the VIP Call Centre or your VIP Consultant.

 

 

ASCII File Layout

  • Set-up of the File Layout.
  • Set-up of the Headers.
  • Set-up of the Trailers.
  • Set-up of the Detail of the File.

 

The ASCII File Layout is available to define the layout of the export files, with the option of adding Headers and Trailers to the file.

 

To Access the File Layout Screen:

From the Main Menu:

  1. Click on Interfaces.
  2. Click on Export Control.
  3. Click on ASCII File Generator.
  4. Click on File Layout.

 

Export Groups

  • Define the fields to be used in the layouts.
  • Define the Selection Criteria.
  • Define the Sort Sequence.
  • Link the Companies to a Group.

 

This screen allows you to set up the applicable Groups, made up of multiple companies that have the data stored in the same fields. It will also allow one to set up multiple groups per File Layout format. Within a group the data MUST be stored in the same fields, but because you can have multiple Groups per Layout, you can export the same data of multiple groups into one ASCII file. It also allows for Sort sequence and Selection Controls.

 

To Access the Export Groups Screen:

From the Main Menu:

  1. Click on Interfaces.
  2. Click on Export Control.
  3. Click on ASCII File Generator.
  4. Click on Export Groups.

 

Export Data

This option is used to export the data to an ASCII file.

 

To Export the ASCII File:

From the Main Menu:

  1. Click on Interfaces.
  2. Click on Export Data.
  3. Click on ASCII File Generator.

 

Export/Import Layouts

An option exists on the Export Control Menu of the ASCII Generator to import or export layouts from one VIP directory to another.

 

To access the Export/Import Layouts Option:

From the Main Menu:

  1. Click on Interfaces.
  2. Click on Export Control.
  3. Click on ASCII File Generator.
  4. Click on Export/Import Layouts.
